Each learner must be able to prepare Function Rooms for service in an effective, hygienic and organised manner.

The learner must understand the importance of preparing the service area within the specified time frames.

Prepare the function room in accordance with organisational requirements.

ASSESSMENT CRITERION 1 
The interrelationship between completing preparation tasks within time limits and customer satisfaction is explained. 

ASSESSMENT CRITERION 2 
The importance of dealing with customers in a polite manner is explained. 

ASSESSMENT CRITERION 3 
The importance of adhering to instructions on function/request sheets is explained. 

ASSESSMENT CRITERION 4 
The environmental control system is set according to organisational requirements and the consequences of not checking environmental control systems and audio visual equipment beforehand are explained.

Rooms are refreshed and inspected for cleanliness and ready to be set up according to the type of function and organisational procedures. 

SPECIFIC OUTCOME 2 
Lay out a function room in an organised manner according to the function/request sheet, in accordance with organisational requirements.

ASSESSMENT CRITERION 1 
The importance of inspecting and checking that the function area, furniture and Audio Visual equipment are clean and fully set up as per function/request sheet instructions before guests arrive is explained. 

ASSESSMENT CRITERION 2 
Appropriate operating equipment, furniture and audio visual equipment are located and used according to the function/request sheet and organisational requirements. 
ASSESSMENT CRITERION RANGE 
The range of operating equipment, furniture, presentation equipment is: Table linen, glassware, stationery, decorative items chairs, desks, tables, lecterns, coat rails, notice boards, flip charts, tape recorders, over-head projectors, projector screens, televisions, video recorders, slide projectors and microphones.
 

ASSESSMENT CRITERION 3 
The function room is set up correctly according to the function/request sheet. 
ASSESSMENT CRITERION RANGE 
The range of functions is: Conferences, meetings, seminars and exhibitions.
 

SPECIFIC OUTCOME 3 
Clear, clean and secure the function room after completion of a function in accordance with organisational requirements.

Organisational procedures for cleaning, preparing and securing of rooms when not in use are explained. 

ASSESSMENT CRITERION 2 
The importance of checking, cleaning and storing all operating equipment, furniture and audio visual equipment after the function is explained. 

ASSESSMENT CRITERION 3 
Rooms are cleared and table items, furniture and audio visual equipment are stored correctly. 

ASSESSMENT CRITERION 4 
A more convenient and safe way of transporting and storing table items, furniture and equipment is developed and applied. 

SPECIFIC OUTCOME 4 
Respond to unexpected situations by adapting performance for a range of set-ups.

Range of unexpected situations: Faulty or damaged equipment, broken or damaged table items and furniture, shortage of table items, changes to set ups.
 

ASSESSMENT CRITERION 3 
The ability of fitting a range of room set ups into your conference centre is discussed.

Range of set-ups: Cinema, classroom, U-shape, hollow square and boardroom.
 

ASSESSMENT CRITERION 4 
Possible suggestions for developing a quicker way of setting up rooms but still maintaining organisational standards are described. 


UNIT STANDARD ACCREDITATION AND MODERATION OPTIONS 
1. Anyone assessing a learner against this unit standard must be registered as an assessor with the relevant ETQA.

2. Any institution offering learning that will enable achievement of this unit standard must be registered with the FE/HE Registrar.

3. Any institution wishing to receive skill development grants must be accredited with the relevant ETQA. Such an institution will also be registered with the relevant SETA.

4. Moderation of assessment will be done by the relevant ETQA at its discretion. 

UNIT STANDARD ESSENTIAL EMBEDDED KNOWLEDGE 
Embedded knowledge and Critical cross-field outcomes have been included within the specific outcomes category.
This has been done as it was deemed necessary to ensure holistic assessment occurred.

The specific outcomes can be applied in a range of contexts.

Many of the outcomes have been written in such a way that competence must be demonstrated in the context as opposed to in isolation from a context.

The specific outcomes are comparable to outcomes used internationally.

We therefore structured outcomes using the format noun + verb + condition (modifying phrase)Specific outcomes have been split into three categoriesa) knowledge and understanding (what the learner must know and understand)b) decision-making and acting (what the learner must do)c) adapting performance ( including reflexive competence)In many instances there are more than six specific outcomes, as the inclusion of critical cross-field outcomes and embedded knowledge has increased the number of specific outcomes.

  • Potential exercise: Visit other establishments and see how they set up their rooms and what they put on their tables.

    Performance systems
  • A new employee should be able to achieve this unit within two months of being trained.
  • Ongoing measurement of the learner's ability to meet this standard is recommended.
