PURPOSE OF THE UNIT STANDARD 
The person credited with this unit standard is able to explain the terms and conditions of exhibitor contracts. They are also able to publish contracts for exhibitors, confirm bookings and assist the exhibitor with payment processes and procedures.

The qualifying learner is capable of:
  • Publishing exhibitor contracts.
  • Understanding the terms and conditions of exhibitor contracts.
  • Confirming stand bookings.
  • Assisting with exhibitor payments of stand rentals.

    It is assumed that learners accessing this unit standard will have demonstrated competence in Computer Literacy, Mathematical Literacy, Communication at NQF level 3 or equivalent. 

    UNIT STANDARD RANGE 
  • An exhibitor contract is a written document between the exhibitor organiser which contains all terms and conditions or an agreement and is legally binding on both parties.
  • Methods of booking exhibition stands will include but are not limited to telephonic, verbal, e-mail and written media.
  • Identical and common clauses in contracts include, but are not limited to, those commonly used by exhibition contractors and members of exhibition bodies or associations (such as EXSA, the Exhibition Association of South Africa).

    Exhibitor contract is published in accordance with organisation and legal guidelines. 

    ASSESSMENT CRITERION 2 
    Exhibitor contract, containing terms and conditions, are circulated along with exhibition brochures and floor plans, to prospective exhibitors in required time frame.

    Exhibitor contract, containing terms and conditions, are included in prospect packs at exhibition launch functions in required format.

    Understand the terms and conditions of exhibitor contracts.

    The exhibitor contract is explained using industry specific terminology. 

    ASSESSMENT CRITERION 2 
    It is explained within organisational requirements why members of Exhibition Associations or bodies (such as EXSA) have identical clauses in their exhibitor contracts. 

    ASSESSMENT CRITERION 3 
    The exhibitor contract is signed by the exhibitor in accordance with legal and organisational guidelines.

    The time when a signed exhibitor contract becomes legally binding on both parties is explained in terms of regulatory requirements.

    A signed copy of the completed exhibitor contract, together with a confirmation letter is sent to the exhibitor in required time frame. 

    ASSESSMENT CRITERION 3 
    Methods of booking exhibition stands is explained according to organisational standards and procedures. 

    ASSESSMENT CRITERION 4 
    Completed exhibitor contract is passed to Accounts Department as per organisational requirements procedure.

    Assist with exhibitor payment of stand rental.

    Terms of payment are explained in accordance with organisational procedures.

    Consequences of failing to obtain payment are explained with examples pertaining to both exhibitor and organiser.

    Financial statements are distributed to exhibitors according to instructions and within required time frame.

    Exhibitors are contacted to collect stand rentals due according to organisational standards and procedures.

  • An individual wishing to be assessed (including through RPL) against this unit standard may apply to an assessment agency, assessor or provider institution accredited by the relevant ETQA or an ETQA that has a Memorandum of Understanding with the relevant ETQA.
  • Anyone assessing a learner against this unit standard must be registered as an assessor with the relevant ETQA or with an ETQA that has a Memorandum of Understanding with the relevant ETQA.
  • Any institution offering learning that will enable achievement of this unit standard or assessing this unit standard must be accredited as a provider with the relevant ETQA, or with an ETQA that has a Memorandum of Understanding with the relevant ETQA.
